Policies
General Policies
- Check-in time is 4:00 – 7:00 PM. Checkout time is 11:00 AM.
- Early check-in starting at 2:00 PM and late check-out by 1:00 PM options are available for $25 each. Please coordinate ahead of time for early check-in or late check-out.
- Please let us know as early as possible if you will need late check-in after 7:00 PM. Arrival after 8:00 PM without notice at least 24 hours prior may incur a $25 charge per room. We can give you self check-in instructions if needed.
- Our establishment is entirely non-smoking. Smoking and vaping are not permitted inside but are allowed in designated outdoor areas.
- Pets are accommodated on a limited basis. Please refer to our Pet Policy below for details.
- Guest Room rates are based on double occupancy. See section below for details on additional guests.
- Guests who overlook their reservation (a “no-show”) are still responsible for the full reservation amount.
- If you depart early, you will be charged for the entire reservation period.
Payments, Deposits, and Fees
- A credit card is required to establish your reservation. We accept all major credit cards.
- A 3% processing fee applies to all credit card transactions. Payments made by cash or check incur no processing fee.
- All payments are final and non-refundable.
- A non-refundable deposit of $25 per night, or 50% of the reservation amount for stays of 7 nights or more, will be charged at the time the reservation is made. This deposit secures your room for the selected dates.
- A $50 extra person/3rd person fee is applied for guests aged 18 and older.
- A $25 extra person/3rd person fee is applied for children aged 17 and younger.
- We offer a military/veteran discount, Van Fleet therapy training discount, and government/per diem rates. You must present a copy of your orders upon arrival to receive government/per diem rates. All discounts are subject to blackout dates during special events (see list *). Limit one discount per reservation.
Cancellation Policy
- Payment Terms: All payments are final and non-refundable. To avoid further payments, cancellations must be made by the following deadlines:
- Special Event Dates (see list *) – by 7:00 PM 30 days prior to check-in date.
- Group Reservations (three or more rooms) – by 7:00 PM 30 days prior to check-in date.
- All other reservations – by 7:00 PM 7 days prior to check-in date.
- Rescheduling: If you reschedule a reservation, the earliest recorded reservation date can be used to determine the required cancellation notice.
- Cancellation Fee: If you must cancel any part or your whole reservation with less notice than required, you will be charged the remaining balance for your reservation.
- Rebooking: For late-cancellations with more than 24 hours notice, we can apply a 50% credit toward a new reservation in the same calendar year. If you must cancel late-notice a second time, you you will be charged the remaining balance of your rebooked reservation and your credit will then be forfeited.
- No-Shows: If you do not show up the night of your reservation and do not notify us, we will consider you a “no show.” You are responsible for the entire amount of the reservation, including taxes, as the room was held specifically for you.
Pet Policies
Pheasant Field Bed and Breakfast offers three pet-friendly rooms with the following guidelines:
- Our pet fee is $25 per pet, per stay.
- Limit two pets in our Pet-sylvania and Country Comfort rooms, or three pets in The Cottage.
- Pets must be kept on a leash while outside.
- Pets are not permitted in the main house.
- Owners are responsible for cleaning up after their pets. Pet waste bags and receptacles are available.
- Pets must be fed on a mat or outside. Mats are provided in each room.
- Pets should be crated if left alone in the room.
- If your pet is a barker, please take measures to ensure the quiet atmosphere for our other guests.
- Please discourage pets from climbing on beds and furniture. Use provided sheets or pet towels to protect the furniture if needed.
- Dedicated pet towels are available for your use. Do not use bath towels to wipe muddy or dirty paws.
- We reserve the right to decline any pet. Unsociable pets (barking, chewing, showing aggression) may be asked to leave.
- If using a cat litter box, please contain the cat litter in the box.
- Additional charges will be applied for any excess damage or messes requiring additional cleanup.
Horse Hotel Policies
- A paddock must be reserved if you are bringing horses.
- Negative Coggins Test documentation is required upon arrival.
- Please empty the water buckets before you depart.
